POST OF FULL TIME ADMINISTRATIVE AND MARKETING ASSISTANT

JOB DESCRIPTION

LOCATED AT: Parish Council Office, The Community Hall, Little Stoke Lane,
Little Stoke, BS34 6HR

REPORTING TO: Parish Clerk

WORKING HOURS: 37 hours per week (Monday to Friday) although reduced hours will be considered to include office coverage over a Thursday and Friday

SALARY: £18,426 per annum

HOLIDAYS: 24 days per annum (rising to 29 after 5 years continuous local government service)

PENSION: Local Government Pension Scheme

PROBATION PERIOD: 6-months

GENERAL TASKS

• Provide an efficient and effective reception service within a small Parish Office.
• To assist in answering and screening inbound telephone calls to the Parish Office.
• To provide Marketing Support and assisting in updating the Parish Council Website, Noticeboards, Newsletters, Social Media and other publicity materials as required with attention to detail key.
• To manage bookings, invoicing and publicity for The Stokes (Youth and Community Centre).
• Assist in maintaining financial information relating to the work of the Parish Council and specifically The Stokes Youth and Community Centre.
• Provide occasional minute taking duties at Parish Council Committee meetings as required.
• Carry out general clerical duties including photocopying and mailing correspondence.
• To create and modify documents using Microsoft Office (mainly Word, Excel and PowerPoint).
• Maintain electronic and hard copy filing system.
• Maintain a supply of stationery and associated office/maintenance equipment.
• Assist in times of absence of the Parish Council Administrative/Financial Officer.
• To undertake additional administrative duties as directed by the Parish Clerk as required.

KEY COMPETENCIES

• Proficient in computer skills, knowledge of Microsoft Office and typing experience.
• Previous experience of working in an office environment and operation of standard office equipment.
• Brief understanding of accounting procedures/software, although training will be provided.
• Knowledge and principles of practices of basic office management to include clerical and administrative procedures and systems, such as filing and record keeping.
• Communication and listening skills with the ability to liaise with members of the public and staff in a professional and courteous manner both in person and on the telephone.
• Handle sensitive information in a confidential manner.
• Flexible, with the ability to adapt to changing work conditions.
