This role is to provide a fully comprehensive and confidential personal assistant service to allocated Heads of Service in the Chief Executive and Corporate Resources department, and to provide cover for other PA colleagues in the department where necessary. The post holder will work under the personal direction of the Heads of Service, but in a busy office will be expected to work with a high level of personal initiative, particularly when a Head of Service is out of the office.

A key aspect of the PA role is to ensure that consistent and high quality support is provided to each Head of Service. The post holder will manage diaries and make appointments and arrange meetings as necessary. The post holder will support the Head of Service in working electronically wherever possible. The role will primarily be office based.

The role is part-time, 22.2 hours per week, spread equally over each weekday, Mon - Fri although there is some flexibility to complete the hours Mon - Thurs, school hours are also acceptable.

Information Technology:

The ICT Division is approximately 40 staff within five workstream areas, Service Design and Transition, Applications and Database, Data Centre Services, Service Desk Operations and Service Delivery and Compliance. It supports around 2800 users across 38 council premises.

Strategic Communications:

The Strategic Communications team is approximately 10 staff who provide communications, social marketing, PR and design consultancy and services to officers across all council departments, the executive management team and the Administration. The team provides services across a number of disciplines including external and media relations, internal communications, marketing, digital communications and graphic design.

Main Duties

To act as the first point of contact for all enquiries relating to Heads of Service, actively managing diary appointments, emails, phone calls and paperwork.

To liaise with internal and external partners of all levels on a daily basis on the behalf of the Heads of Service, including contact with members and colleagues from different departments and organisations.

Work without close supervision in a flexible, outcomes based manner using mobile technology to work remotely if required. This includes having an information security and governance mind-set.

To exercise strict confidentiality dealing with sensitive matters including using systems to log relevant information.

To draft and send communications on the behalf of Heads of Service as required, using strong IT and literacy skills.

To take minutes for meetings as appropriate.

Assist the Heads of Service and team managers with the collation and organisation of service information on personnel, plans, processes and performance.

To provide all other PA support services to the Heads of Service as required, remaining flexible and responsive on a daily basis.

Selection Criteria

The post holder is expected to have recent experience of working as a PA to a senior manager.

Good literacy skills including written and verbal communication skills with the ability to collate and communicate information effectively with colleagues, members and other parties at all levels.

Should have National Vocational Qualification (level 3) Administrative or equivalent and a minimum of 50 wpm typing.

The post holder will be flexible and resilient with good attention to detail, organisational skills and the ability to work on own initiative to tight deadlines and manage multiple priorities.

Good influencing skills, with the ability to negotiate with people from a range of different backgrounds to achieve a desired result.

Experience of collaboration tools such as skype and yammer, working on single documents with colleagues and more generally use of the Web, search, e-commerce, CRM, information dashboards and analytics.
