Vinney Green Secure Unit opened in February 1995, and accommodates 24 young people of both sexes, aged between 10 and 18. The Unit has been designed to a very high standard and is structured to provide physical containment in an environment which is comfortable and attractive. Vinney Green Secure Unit offers young people a safe and caring environment, where they experience quality care, education, recreational facilities, vocational and life skills training.

We are looking for strong customer focus, a commitment to accurate word processing, the ability to work under pressure and the desire to foster a strong team ethos. You will be providing comprehensive clerical support to the Secure Unit which will include the Senior Leadership Team, Deputy Managers and the Education Team. This role will also include providing reception cover on weekends.

Interviews due to take place on Tuesday 29 January 2019.

This post is permanent and part time, 20 hours per week. Thursday and Friday 09:30-14:30, Saturday and Sunday 10:15-15:15 - these hours are non-negotiable.

Main duties:

To word process or type letters, memoranda, invoices and occasional reports

To answer the telephone and take messages as necessary.

To undertake filing and photocopying of documents as instructed.

To sort and distribute the Units daily incoming mail when required.

To undertake specified clerical tasks required by the Senior Leadership Team, Deputy Managers, Resource Manager and Administration Officer.

To cover reception duties at Secure Unit and Vinney Green Secure Service Buildings (to include weekends).

To minute young people’s planning meetings, as required.

To collect information and maintain databases as required.

Assist in the maintenance of financial records.

Selection Criteria:

To enable us to shortlist in a fair and unbiased way it is absolutely vital that you provide us with sufficient information to demonstrate how you meet or exceed the criteria outlined in the vacancy description. Essential Criteria:

You may have an NVQ2 or equivalent or will have a similar level of relevant experience.

You will have relevant training and practical experience of administrative processes and procedures.

You will demonstrate a knowledge of relevant processes and procedures and some understanding of the wider context in which they are undertaken.

You will have good IT skills including knowledge of standard software packages and ability to be trained on bespoke software and databases.

You will have the initiative and judgement to identify problems and raise them with senior colleagues as appropriate.

You will have good verbal and written communication skills and a focus on customer needs.

You will have some appropriate skills to assist in the maintenance of financial records.

Able to demonstrate the Council’s values and behaviours.

Desirable Criteria:

Experience of administration within a similar environment.

If you use your vehicle on authorised Council business, you will receive a mileage payment based on the Inland Revenue Authorised Mileage Allowance Payment Scheme (AMAPS). The allowance is provided on the condition that your own insurance covers you for business use and indemnifies the Council against claim (including those concerning passengers) arising out of the use of the vehicle on official business. You will also be eligible for a car loan if you meet the criteria within the Council’s Car Loan Scheme.

A Secure Unit is a closed facility and movement is governed by the controlled unlocking of electronic doors.

The environment can become tense and anxiety provoking given that young people are detained.

Young people can present physically threatening behaviour.

Surveillance cameras are in use in most areas of the building.

Once on duty, there will be no opportunity to leave the building.

VGSU is a no smoking environment, and there is no provision to facilitate smoking.

Staff will be expected to adopt an appropriate and safe standard of dress (including jewellery).

Staff’s personal belongings are required to be left in a provided locker on entry into the building.

There is a requirement for staff to make a monthly contribution towards the beverages provided by the unit, which is deducted at source.

It is essential that you are fit to carry out Physical Intervention techniques for which full training will be given.

This post is also subject to a medical clearance, which is satisfactory to management.

In the future there may be a requirement to undertake further physical fitness checks.

This post is subject to a Disqualification from Working with Children declaration.
