This is a limited term contract until 7 January 2020

Summary of Post

We are looking for an additional person to join the administrative team within Integra. The post will be supporting the current administrative function within Integra and will also provide additional administrative support for School Improvement and all other departments within Integra as and where required.

The post holders will work under the direction of the Administrative Team Leader or other designated person, to ensure the delivery of a high quality comprehensive administrative service for all management levels from Senior Officers, Advisors, Consultants, Advisory Teachers and Directors within Integra.

Main Duties

To provide delivery of a high quality comprehensive administrative service to the designated Senior Officers, Advisers and Consultants within Integra.

To work collaboratively with the Administrative Team Leader or other designated person and other support staff in Integra to ensure an effective secretarial and administrative support service is maintained at all times.

To provide first point of contact for training information/booking and other enquiries and provide advice and guidance as necessary or direct to relevant colleagues in a courteous and professional manner via telephone, email or face to face.

To prepare documents, reports and other materials to a high standard for the Senior Officers within agreed deadlines

To be responsible for the input of orders and the associated processing using the Council’s e-procurement system and undertake enquiries via the Civica Financial Systems.

To design, create, collate and distribute booklets as required and to photocopy, prepare packs and training materials for conferences, meetings, seminars and mailings to schools.

To implement database management systems for storing, retrieving and updating information held within the section, to input data into spread sheets and databases and under guidance carry out basic manipulation of the data.

To carry out any other duties, that may be needed from time to time, as commensurate with the level of the post.

Selection Criteria

Minimum of 5 GCSEs A*-C including maths and English (or equivalent qualification or equivalent experience)

Experience of working in an administrative role

Good verbal and written communication skills to effectively deal with a wide range of customers, schools and other members of staff.

Highly skilled in the use of word processing (experience in Microsoft Word, Excel, PowerPoint, Publisher, Access and related office software, and familiar with spread sheets, databases and desktop publishing).

Ability to manage own time and workload and prioritise tasks.

An understanding of the need to deal with customers sensitively and to keep information confidential

Ability to work individually and as an effective team member.


Business administration qualification or equivalent and relevant administrative/clerical experience

Knowledge of computer and administrative systems.

Experience of establishing working relationships with external and internal customers.

Use of Vehicle
The nature of the duties of this post may require you to travel on Council business, so you must either have a current driving licence and use of a car, or have access to appropriate means of travel.
If you use your vehicle on authorised Council business, you will receive a mileage payment based on the Inland Revenue Authorised Mileage Allowance Payment Scheme (AMAPS).The allowance is provided on the condition that your own insurance covers you for business use and indemnifies the Council against claim (including those concerning passengers) arising out of the use of the vehicle on official business. You will also be eligible for a car loan if you meet the criteria within the Council’s Car Loan Scheme.

Salary: £18,870 - £20,541 per annum, pro rata to contract hours worked

Hours: 37 per week - Term time only plus 5 days
