Summary of Post

We are urgently seeking a flexible and enthusiastic DBS Admin Assistant who enjoys a challenge, has a positive attitude to change and has a demonstrated ability to deliver excellent customer service. This opportunity will mainly involve meeting customers, processing and checking their DBS applications, checking identification and right to work documentation, and providing a professional, approachable point of contact for all customer enquiries. You may be asked to support with other administrative duties, as required.

Our Schools HR team, based within Integra (the trading arm of South Gloucestershire Council) is focused on providing an efficient Human Resources administrative service to 100 plus locally managed schools and external Academies employing approximately 6,000 staff. We are committed to the continuous improvement of our processes and systems to provide the most effective service possible. We provide a comprehensive DBS service to a variety of organisations and this post would be key in delivering that service. This is a challenging role which requires flexibility, good team work and enthusiasm.

Main Duties
• Advising on requirements for processing DBS applications in accordance with the procedures of the Disclosure and Barring Service.
• To be responsible for the processing and checking of DBS application information on the DBS online system.
• Verifying applications with applicants’ identity documents in accordance with the established quality control measures, checking for fraudulent documents and in line with legislative requirements.
• Checking applicants Right to work in the UK.
• Advising DBS applicants on the legal, policy or procedural requirements relating to their application and right to work in the UK.
• Acting as a Counter Signatory within the Integra DBS team. (All applicants for Counter signatory status are checked by the DBS to the level of an Enhanced DBS check. Counter signatories will have access to sensitive personal information. It will be their responsibility both to ensure its security and to ascertain if the application can proceed).
• Maintaining appropriate document management systems and databases to meet management information requirements.
• Dealing with enquiries via telephone, writing or in person.
• To build good working relationships with client organisations e.g. taxi licensing.


Selection Criteria

Essential
• You will have an NVQ 2 or 3 GCSE’s grades C or above or equivalent qualification or equivalent relevant experience.
• Ability to interpret, understand and work within statutory guidelines, legislation and Integra DBS policy
• Experience in the use of Microsoft office (including, word and excel), back office systems, and document management systems, web based and internet systems.
• Ability to communicate courteously and confidently via telephone, in writing or in person
• Possess a high standard of interpersonal skills including the ability to deal effectively with a range of potentially stressful and challenging situations.
• Ability to work with speed and accuracy and to strict deadlines
• Ability to meet targets and take responsibility for personal workload
• The ability to work flexibly within a team situation and evidence of using personal initiative with limited direct supervision

Desirable
• Demonstrate a commitment to excellent customer care with high standards for service delivery
• Previous experience with DBS Service and/or acting as DBS Counter Signatory
