A vacancy has arisen for the position of a Full Time Administrative and Marketing Assistant working within Stoke Gifford Parish Council. Information about the Parish Council, along with a job description is detailed below:

STOKE GIFFORD PARISH COUNCIL

Parish Councils are the first tier of local government and the closest to the community they serve. As a tier of local government, they are elected bodies, with discretionary powers and rights laid down by Parliament to represent their communities and provide services for them.

Stoke Gifford Parish lies immediately north of Bristol to the west of the M32 and south of the M4 motorway. The parish's 1717 acres comprises Stoke Gifford, Little Stoke, Harry Stoke and Stoke Park and has twelve elected councillors to serve its 11,500 inhabitants.

Stoke Gifford earns its place on the map not only via its history which can be traced as far back to 1085 AD via entries in the Doomsday Book, but contemporarily by important transport routes, educational establishments and businesses sited within the parish.

The parish holds Bristol's second railway terminal, Bristol Parkway Station, which is an important commuting point for trains plying both local, Great Western and Cross-Country routes.

POST OF FULL TIME ADMINISTRATIVE AND MARKETING ASSISTANT

JOB DESCRIPTION

LOCATED AT: Parish Council Office, The Community Hall, Little Stoke Lane,
Little Stoke, BS34 6HR

REPORTING TO: Parish Clerk

WORKING HOURS: 37 hours per week (Monday to Friday)

SALARY: £18,426 per annum

HOLIDAYS: 24 days per annum (rising to 29 after 5 years continuous local government service)

PENSION: Local Government Pension Scheme

PROBATION PERIOD: 3-months

GENERAL TASKS

• Provide an efficient and effective reception service within a small Parish Office
• To assist in answering and screening inbound telephone calls to the Parish Office
• To provide Marketing Support and assisting in updating the Parish Council Website, Noticeboards, Newsletters and other publicity materials as required and attention to detail is key
• To manage bookings and invoicing for The Stokes (Youth and Community Centre)
• Assist in maintaining financial information relating to the work of the Parish Council
• Provide occasional minute taking duties at Parish Council Committee meetings as required
• Carry out general clerical duties including photocopying and mailing correspondence
• To create and modify documents using Microsoft Office (mainly Word, Excel and PowerPoint)
• Maintain electronic and hard copy filing system
• Maintain a supply of stationery and associated office/maintenance equipment
• Assist in times of absence of the Parish Council Administrative/Financial Officer
• To undertake additional administrative duties as directed by the Parish Clerk as required

KEY COMPETENCIES

• Proficient in computer skills, knowledge of Microsoft Office and typing experience
• Previous experience of working in an office environment and operation of standard office equipment
• Brief understanding of accounting procedures/software, although training will be provided
• Knowledge and principles of practices of basic office management to include clerical and administrative procedures and systems, such as filing and record keeping
• Communication and listening skills with the ability to liaise with members of the public and staff in a professional and courteous manner both in person and on the telephone
• Flexible, with the ability to adapt to changing work conditions
