Panel Administrator and Note-taker (Badminton Road, Yate)
£19,554 to £21,166 per annum
Under the supervision of the Family Placement Team Manager, the post holder will assist the Family Placement Team, whose work has to be completed to statutory obligations and legal timescales, by providing a discrete business administrative support.
The post holder will provide a confidential note taking service, including at fostering panel, and administrative and word processing support to the Family Placement Team.
The post holder will assist in the arrangements for the fostering panel, including scheduling, booking meeting rooms, word processing, and sending out invitations to participants, maintaining agendas, sending reminders and collating panel documentation due to be presented to the panel. S/he will type up case panel notes and reports in both draft and finalised form for scrutiny, and will despatch to relevant parties once approved, recording the despatch as required.
You will also collate information and maintain records or databases to provide information for use by others and produce this information as required, and will carry out photocopying, disposal of confidential material, filing and retrieving documents. The post holder will also use CIVICA to raise purchase orders as required.
About the team
This post is based in the Family Placement Team, who are responsible for the recruitment, assessment and support of foster carers and matching of children and young people with foster carer’s who can meet their needs..
The Family Placement Team is part of the Corporate Parenting division along with the Looked After Children Team ( who are responsible for children and young people in care , and the Transition to Independence Team (who support children who are leaving care).
About the Role
The post holder will need effective organisational skills and will be expected to manage their workload, with managerial support, to provide an efficient and effective administration service to the team.
The post holder will be required to use their own initiative when setting up meetings and inviting attendees, to find suitable times, venues etc.

Main Duties
• Collect information and maintain records or databases to provide information for use by others.
• Support the service by performing tasks in a specialist area ensuring that problematic or complex issues are raised with senior staff.
• You will provide customers with basic information ensuring that an effective courteous customer service is given.
• Prepare documents and other materials for use in the specialist area to a good, accurate standard using some non-standard formats and software.
• Support meetings, ensuring that minutes are taken, outcomes are recorded and actions are chased as well as supporting internal and external events
• Research information within your area of service specialism and collate evidence for presentation in reports. This may include drafting sections of documents for use by others
• Assist with administrative support to be completed within the necessary statutory obligations and legal timescales.
Selection Criteria

Essential:
1. A minimum 3 GCSEs or equivalent to include Maths and English or a relevant vocational qualification equivalent to NVQ Level 2, (eg business admin), or able to demonstrate equivalent level of knowledge.
2. Experience of computer based programs such as MS office.
3. Experience and/or knowledge of computer based record systems.
4. The ability to be able to take and type up accurate minutes of meetings.
5. Effective interpersonal skills and telephone manner and an awareness of confidentiality, Data Protection and Freedom of Information issues.
6. Able to work effectively as part of a team and to use own initiative to work independently on general tasks.
7. Willing to undertake other appropriate office support functions as directed by the Team Manager to enable the day to day business to operate effectively and efficiently, which may include travelling to other office locations if required.
8. You will be required to travel widely within the Authority so you must either have a current driving licence and provide a car, or have access to appropriate means of travel

Desirable:
10. Previous experience / knowledge in a Social Care setting.
11. Fast, accurate, fluid typing speed and/or a short hand speed of 100 words per minute.
Additional Information:
The nature of the duties of this post will require you to travel on Council business on a regular basis, so you must either have a current driving licence and provide a car, or have access to appropriate means of travel.
If you use your vehicle on authorised Council business, you will receive a mileage payment based on the Inland Revenue Authorised Mileage Allowance Payment Scheme (AMAPS). The allowance is provided on the condition that your own insurance covers you for business use and indemnifies the Council against claim (including those concerning passengers) arising out of the use of the vehicle on official business.
