Summary of Post

An exciting apprenticeship opportunity working within the Business Support Team to provide administrative support to the Public Health Division, within the Children, Adults and Health department.

The post holder will assist with collating and analysing information for reports and maintaining accurate record and interpreting data. They will build on existing communication skills to be able to liaise with customers and relay issues and queries promptly where necessary. They will learn how to research information within areas of the service and act as a main point of contact for customers and colleagues.

The apprentice will learn to support the division’s finances by using the council’s financial systems to input data, purchasing goods/services, recoding and processing petty cash claims. The role also provides administrative support which will include word processing and minute taking at meetings.

This role is crucial in providing an excellent, flexible and diverse administrative service to the division.

As part of the apprenticeships a Level 3 in Business Administration will be completed which involves day release with a provider in Filton. Throughout the apprenticeship you will receive supervision, guidance and support from your workplace mentor.

Please note that you will be expected to undertake a basic skills assessment as part of the selection process. These will take place at SGS College, Filton Avenue, Filton, Bristol, BS34 7AT week commencing 20th August 2018.

The team operates from Badminton Road, Yate.

Main Duties

Provide administrative support to the Public Health Division ensuring work carried out is efficient and procedures are effectively implemented.

Act as a main point of contact for the service area and provide effective communication when dealing with enquiries and information requests.

Collate and maintain records and analyse information to ensure accurate statements are produced and data is retrieved from computerised systems and interpreted.

To assist with the setup of internal and external meetings/events, to include room set up and the taking of minutes.

Involvement in project management to include the management of the resource and information process to include working with members of the department to ensure their resource is effectively stocked and distributed and there is a smooth handover of the process from Bristol

To understand commissioning by involvement with the online portal

Communicate specific concerns, queries and issues and ensure they are accurately and promptly relayed when necessary.

Selection Criteria

• Must hold a minimum qualification of 3 grade C’s at GCSE including English, Maths, or equivalent or be willing to work towards Level 2 in English and Maths.
• You will have good literacy skills and able to write letters and contribute to providing information for reports.
• You will have ability to communicate effectively with the public, professionals and partnership agencies using a variety of media i.e. email, phone, face to face etc.
• You will have good numeracy and IT skills being able to use Microsoft Office (Outlook, Word, Excel, PowerPoint) and maintain computerised record systems
• You will have good organisational skills and attention to detail.
• You will be able to seek out information, collate it and present findings.


• Knowledge of the processes and procedures related to the specialism may be useful.

Please note that you will be expected to undertake a basic skills assessment as part of the selection process. These will take place at SGS College, Filton Avenue, Filton, Bristol, BS34 7AT week commencing 20th August 2018.

You need to ensure you are able to get to place of work, Badminton Road, Yate and the training provider’s location in Filton. This is a limited term contract for 18 months.
